For Executive Assistants and Meeting Planners

The Executive Assistant and Meeting Planner Guide

You are booking a meeting for the people whose time matters most to your company. Here is what Transcend Leadership Center handles, what we need from you, and what to expect on the day.

What Comes Off Your List

An executive meeting often means coordinating a venue, a caterer, and an AV vendor separately. At TLC, the room, AV, drinks, snacks, and parking come together in one quote.

There are no food and beverage minimums, no “++” service fees, and no surprise AV charges. Add chef-prepared meals and they are built into the same package rate: one figure, with no line items, before you commit. A W-9 and certificate of insurance are ready for your procurement team.

What to Send With Your Quote Request

  • Preferred dates, plus any backup dates
  • Start and end times for each day
  • Number of attendees
  • Meeting type: offsite, strategic planning retreat, board meeting, peer advisory group, or leadership team session
  • Breakout rooms needed, or a reservation of the entire center
  • Meals wanted: breakfast, lunch, evening dinner and drinks
  • Dietary restrictions
  • Hybrid needs: number of remote attendees, and Zoom or Teams
  • Facilitator, if you would like one
  • Out-of-town attendees who would like preferred hotel rates
  • Setup time before the start, and any materials you plan to ship
